General
What is ClinicAI?
One system for private clinics that puts the phone reception, the website chat, online booking, patient records and automatic reminders in one place. The goal: no manual admin left in the clinic.
Who is it for?
Dental practices, private clinics, aesthetic clinics, dermatology, physiotherapists and any healthcare provider that works by appointment. From a solo practice to a clinic with several locations.
Who is behind ClinicAI?
Ádám Tokár, a sole trader based in Gyula, Hungary. I do the setup, maintenance and support personally. The provider details are in the privacy notice.
How is it different from clinical software?
ClinicAI focuses on patient communication and admin: phone, booking, reminders, patient records, storage. It is not a clinical decision support system and has no live connection to clinical record systems.
Do I have to replace the programs I use today?
Not necessarily. I look at what the clinic uses today. ClinicAI connects to general tools such as Google Calendar or Microsoft 365, and takes over what it replaces. It has no live connection to clinical record systems; anything like that is a custom project after an assessment.
AI receptionist and chatbot
Does the phone receptionist pretend to be a person?
No. It speaks in a natural voice, and it says at the start of every call that it is a digital assistant. If the caller wants a person, or the question goes beyond booking, it takes a callback request and you get a notification straight away.
Does it give medical advice?
No. It does not diagnose, does not triage and gives no treatment advice. For a health question it points the caller to the clinic, and for urgent symptoms to 999. In that case it never offers an appointment.
Does the clinic keep its phone number?
Yes. The digital receptionist works through call forwarding from your existing number. You can choose whether it answers always, only when the line is busy, or only outside opening hours.
What does the chatbot know about my practice?
Only what you give and I add: treatments, prices, preparation, doctors, opening hours, contact details. If it does not know something, it does not make up an answer; it offers a callback instead.
What if the receptionist does not understand the caller?
It asks again, and if the request is still unclear, it takes a callback request with the caller's name and number. You get a notification and the call summary.
Does it record calls?
It only records audio if you ask for it, and then it tells the caller at the start of the call. A written summary is made of every call.
Booking and automation
How do patients book online?
On your website, in the chat or by phone, they pick a free slot. Every channel books into the same calendar, so there are no double bookings.
Which reminders does it send?
A confirmation at booking, a reminder before the visit, and after treatment a recall and a review request if you want them. Timing and wording are set per practice.
Are messages sent by text or email?
Both, depending on the patient's contact details and consent. Marketing messages only go out with prior consent.
What happens to cancelled appointments?
The freed slot goes back into the calendar, and if there is a waitlist, the system offers it to the waiting patients.
Do I get notified about new bookings?
Yes. You get a notification about new bookings, enquiries, callback requests and cancellations, and a daily summary every morning if you want one.
Privacy and security
How does ClinicAI handle health data?
Health data is sensitive data. The system works with encrypted transfer and storage, role-based access and access logging, and I sign a written data processing agreement with every practice.
Who controls the data and who processes it?
Your clinic controls the patient data. ClinicAI processes it on your instructions, within the data processing agreement.
Who owns the data when the contract ends?
Your clinic does. You get a full export in a standard format, and then I delete the data as set out in the data processing agreement.
Is ClinicAI NHS approved or CQC registered?
No. ClinicAI makes no NHS or CQC claim. It is a software service for the admin side of a private clinic: phone, booking, reminders and patient records. Your own regulatory duties stay with your clinic.
Is it safer than a local NAS?
Managed, encrypted, regularly backed-up storage is safer in many practices than a local device nobody updates. It depends on your current setup, which I go through at the assessment.
Pricing and contract
How much does it cost?
A one-time setup fee plus a monthly fee. There are 3 packages: Starter £279, Practice £549 and Clinic £949 a month. Prices in GBP, excluding VAT. You get a written offer after the assessment.
Is there an annual discount?
With annual billing you pay half the setup fee plus 10 monthly fees, and get 12 months.
Is there a setup fee?
Yes, a one-time net fee that covers the setup, taking over your data and the trial week: Starter £790, Practice £1,390, Clinic £2,290.
How long does setup take?
The first step is a short assessment. Then I set the system up with your treatments, prices and calendar, followed by a trial week before going live. You get the exact schedule in writing after the assessment.
